Nexus Recognita Privacy Policy

Nexus Recognita is committed to protecting your privacy and handling your information to European data protection standards. This policy explains what information we hold, why, and the choices you have. It is written by context, so you can read the part that applies to how you interact with us.

Who we are

Nexus Recognita is an independent research and methodology organisation focused on coordination capacity in cancer care teams, based in the Netherlands. For the purposes of the GDPR, Nexus Recognita is the data controller for the information described in this policy.

We work with cancer care professionals, and the information we handle is their own professional information. We do not collect patient data or clinical data. We treat professional confidentiality as integral to how we work, including the privacy of the professionals and institutions we engage with and the confidentiality of their professional relationships.

Visiting our website

When you browse nexusrecognita.com, we use Google Analytics and the LinkedIn Insight Tag to understand how the site is used and to measure our professional outreach. These tools collect general, non-identifying information such as pages visited, time on site, and approximate location, and they rely on cookies. They are website tools only. They are not connected to the Cancer Care Coordination Study or to event registration, and no study or event response passes through them.

You can control cookies through your browser settings, and you can opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout. The lawful basis for non-essential analytics and marketing cookies is your consent, which you can withdraw at any time.

The Cancer Care Coordination Study

The study is conducted through a single survey platform and is governed in full by our Data Governance and Protection Statement, available on request. In summary: the survey can be completed anonymously, it collects no patient or clinical data, and any optional contact details you provide are separated from your research responses after collection and held under restricted access.

The study uses only its survey platform. It does not use the website analytics or marketing tools described above, and study data is never used to target advertising or outreach. The lawful basis for any personal data in the study is your consent. For anything relating to study data, including access or deletion, contact research@nexusrecognita.com.

Events: the Roundtable and the Summit

When you register for a Nexus Recognita event, such as the Coordination Roundtable series or a future Summit, we collect your contact details and some professional context, such as your role and where you practise, together with anything you choose to share in an open field at registration. We use these to confirm and run the event you signed up for, to shape the conversation, and, where you have agreed, to share the recording or related materials afterwards.

Registration carries two separate consents: one to attend and receive the communications needed to run the event, and a separate, optional consent to receive occasional updates from Nexus Recognita about cancer care coordination, which you can stop at any time through the unsubscribe link. Event registration data is held separately from the study dataset and is not merged with it. We keep registration details for the event and for three months after the post-event report, which we produce within four weeks of the event, and where you have opted into updates, your contact details until you unsubscribe.

The Shift

If you take part in The Shift, our individual development programme, we hold the information needed to deliver and support your participation, including your contact details and the development information generated during the programme. This is used only to deliver the programme to you. The lawful basis is your consent and the performance of our agreement with you.

Staying connected

If you subscribe to our updates, whether directly or when you register for an event, we hold your email address and your subscription preferences to send occasional research updates. The lawful basis is your consent. Every update includes an unsubscribe link, and you can stop at any time.

How we use information

We use the information above to operate and improve the website, to conduct and analyse the study and report findings in aggregate and anonymised form, to run events and deliver The Shift, and to send communications you have asked for. We never sell personal information, and we never share it with third parties for their own commercial purposes.

Service providers

We rely on a small number of providers, each acting under its own privacy terms: Google and LinkedIn for website analytics and outreach measurement; Tally for the study survey and event registration; Zoho for email correspondence and updates; and our website hosting and maintenance providers. Study and event data is handled through Tally and is kept separate from the website analytics and marketing tools.

Data security

All data transfer uses industry-standard encryption. Storage is on European or European-aligned services with appropriate security measures. Access to personal information is limited to authorised people for defined purposes, and we review our data-handling practices regularly.

Retention

We keep information only as long as needed for the purpose it was given. Website analytics data is retained for 14 months, in line with our analytics settings. Study data is retained as set out in the Data Governance and Protection Statement, with optional contact details kept only as long as needed and then deleted. Event registration details are kept for the event itself and for three months after the post-event report, which we produce within four weeks of the event, and where you have opted into updates, your contact details until you unsubscribe. Newsletter details are kept until you unsubscribe. The Shift records are kept for the duration of the programme and a reasonable period afterwards.

Your rights under the GDPR

You have the right to access your personal data, to have inaccurate data corrected, to have your data erased, to restrict or object to processing, to data portability, to withdraw consent at any time, and to complain to a supervisory authority. In the Netherlands the supervisory authority is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), and if you are in another EU country you may also complain to your local authority.

To exercise any of these rights, contact info@nexusrecognita.com for general, website, event, or newsletter matters, or research@nexusrecognita.com for anything relating to the study. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

International handling

We are based in the Netherlands, and storage is in the EU or on EU-aligned services. Where any provider processes data outside the EEA, we rely on appropriate safeguards for that transfer.

Changes to this policy

We may update this policy to reflect changes in our work or in regulation. We will notify registered users by email and place a notice on the website for 30 days for any material change, and we will update the effective date at the top of this policy.
